EllaRae Aesthetics (“we”, “us”, “our”) is a registered nurse–led cosmetic clinic in Smeaton Grange, NSW. We are committed to protecting your privacy and handling your personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles. This policy explains what information we collect, how we use it, and your rights.

The information we collect

Depending on how you interact with us, we may collect:

  • Contact details: your name, email address, phone number and postal address.
  • Health and medical information: relevant medical history, medications, allergies, skin concerns, treatment history and photographs, which we collect and use only to assess suitability, plan and provide your treatment safely, and maintain your clinical records. This is “sensitive information” under the Privacy Act and is given a higher level of protection.
  • Booking and appointment information: the treatments you book, attend and are interested in.
  • Payment information: details needed to process payments and any Treatment Wallet or payment-plan arrangements. Card details are handled by our secure payment providers and are not stored by us.
  • Purchase information: orders you place through our online skincare shop.
  • Website and communication data: information you provide through enquiry or booking forms, and basic technical data (such as your device and browsing activity) when you use our website.

How we use your information

We use your personal information to:

  • Provide, plan and follow up on your treatments and care.
  • Manage bookings, appointments, reminders and your account.
  • Process payments, orders and payment-plan arrangements.
  • Respond to your enquiries and provide customer support.
  • Meet our professional, legal and record-keeping obligations as an AHPRA-registered practice.
  • Send you marketing communications — such as email newsletters, special offers and requests for a Google review — where you have consented to receive them. You can opt out at any time (see “Marketing” below).

Marketing communications

From time to time we may send you marketing by email, including news, special offers, and invitations to leave a Google review, where you have opted in or are an existing client and it is permitted by law. Every marketing email includes an easy way to unsubscribe, and we will action opt-out requests promptly. Requests to leave a review are always voluntary — we simply invite feedback about your experience with our clinic and team, and never require or reward a review.

When we share your information

We do not sell your personal information. We share it only where necessary, with:

  • Our service providers, who help us run the clinic — including our booking and clinical records software, our online store platform, our payment and payment-plan providers, and email or marketing tools. These providers are only permitted to use your information to provide their services to us.
  • Other health professionals, where relevant to your care and with your consent.
  • Regulators or authorities, where we are required or authorised to do so by law.

Some of these providers may store data on secure servers located in Australia or overseas. Where that is the case, we take reasonable steps to ensure your information is handled consistently with this policy and Australian privacy law.

How we protect your information

We take reasonable steps to keep your information secure and to protect it from misuse, loss, and unauthorised access, including through secure clinical and booking systems, restricted staff access, and secure payment providers. Clinical records are retained for the period required by law and professional obligations, after which they are securely destroyed or de-identified.

Your rights

You have the right to:

  • Ask what personal information we hold about you and request access to it.
  • Ask us to correct information that is inaccurate, out of date or incomplete.
  • Opt out of marketing communications at any time.
  • Make a complaint about how we have handled your information.
